Client Administrator (Processor).

When a California teacher decides to move their retirement savings, somebody has to make it actually happen — the application, the releasing company, the receiving company, the signatures, the funds. That is this job. You own the paperwork pipeline from application to issued policy.

The work

A case lands on your desk. You take it home.

01

Intake and prep

Submit the e-application alongside the agent. Work out what the releasing company needs and what the receiving company needs, prepare both sets, then get the documents to the client through the agent and the signatures back.

02

Approval and transfer

Get the package verified and approved by the TPA, assemble it properly, and send it to the receiving company. Then stay on it — sent, reviewed, faxed, confirmed received, in good standing. This stretch is where transfers die if nobody is watching.

03

Funding and issue

Track the funds released and the funds received, and confirm the policy is issued. Three kinds of case run through this: new annuity, annuity transfer, and life.

The part that really matters

Every case has to be current in our system at every step. Not at the end of the week — at every step. The whole team reads that pipeline to know where things stand, so if it does not mirror reality it is worse than having nothing. What we are looking for is simple to say and hard to do: nothing sits, every open case has a clear next action, and packages go out clean the first time so the TPA does not send them back.

What is not your job

You do not sell, and you do not carry a quota. Client appointments and closing belong to the agents. Delivery, appreciation and retention belong to the Client Success Manager. You are not chasing new business or being measured on it.

What you are measured on is turnaround, whether anything is sitting without a documented next action, and whether the pipeline is accurate.

Who we are looking for

Somebody organized enough to hold twenty open cases at once and know which one has been quiet too long. Experience with retirement transfers is a real advantage — 403(b) and 457 rollovers, 1035 exchanges, TPAs, carrier portals — but we have hired people from escrow, from title, and from medical billing who turned out to be excellent, because the underlying skill is the same: exact paperwork, unfamiliar systems, and following something through until it is genuinely finished.

You will talk to clients as well as carriers, so you need to be able to explain a delay to somebody anxious about their retirement money without making it worse. A good part of our client base is more comfortable in Spanish, so Spanish is genuinely useful here, though it is not a requirement.

No insurance license is needed for this role. You will handle Social Security numbers and bank account details, so there is a background check.
